This Privacy Policy explains how Akash Palace (“Hotel Akash Palace & Restaurant”, “we”, “us”, “our”), B A, National Highway, Chotila, Surendranagar District, Gujarat 363520, India, collects, uses, shares and protects personal data when you use our website, send us an enquiry, or stay or dine with us.
We follow the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000 and the rules made under them. By using our website or sending us your details, you agree to the practices described here.
1. What we collect
When you send a stay enquiry (the “Plan your stay” form): your name, mobile number, email address (optional), check-in and check-out dates, number of adults, children and rooms, preferred room, food requirement, and anything you write in the message box.
When you use the general contact form: your name, email address, subject and message.
When you create an account on our website (where available): your name, email address and a password, which we store only in encrypted (hashed) form.
When you stay with us: Indian law requires every hotel to keep a guest register. At check-in we record each adult guest’s name, address, contact number and a valid government-issued photo ID (for example Aadhaar, passport, driving licence or voter ID). For foreign nationals we also record passport and visa details and submit Form C to the authorities, as required. These details are collected at the hotel, not through the website.
Automatically, when you visit the website: your IP address, browser and device type, the pages you view and the time of your visit, recorded in our server logs for security and troubleshooting. See “Cookies” below.
We do not take payments on this website and never ask for card, UPI or bank details through it. If anyone contacts you claiming to be us and asks for such details online, please call the hotel to check.
2. Why we use your data
- To reply to your enquiry, confirm availability and rates, and arrange your stay or meal.
- To manage your booking, check-in, billing and any special requests (such as Jain food, early darshan timings or accessibility needs).
- To meet our legal obligations, including the guest register, Form C for foreign nationals, tax and accounting records, and requests from police or other authorities.
- To keep our website and premises safe, and to prevent fraud and misuse.
- To improve our website and services, using information that does not identify you.
We do not use your details for marketing messages unless you ask us to keep you informed. You can tell us to stop at any time.
3. The basis on which we process it
We process your personal data with your consent, which you give when you send us an enquiry or message, and for legitimate uses permitted by law, such as complying with legal obligations, responding to a medical emergency, or fulfilling the stay you have asked us to arrange. You may withdraw your consent at any time by contacting us; this does not affect anything we did before you withdrew it, or records we are required by law to keep.
4. Who we share it with
We do not sell or rent your personal data. We share it only:
- With service providers who help us run the website and our business, such as our web hosting and email providers, and only so far as they need it to provide that service.
- With government authorities when the law requires it, for example police verification, Form C submissions, or a valid order from a court or authority.
- With others, with your agreement, for example if you ask us to arrange a taxi or a guide.
Third-party services on our website. Some features are provided by other companies, which may receive your IP address and set their own cookies when you use them:
- WhatsApp (Meta): if you choose to message us on WhatsApp, your conversation is handled under WhatsApp’s own privacy policy.
- Google Maps: maps and directions on our pages are loaded from Google.
- Google Fonts: the typefaces on our website are loaded from Google’s servers.
- Google reCAPTCHA (where enabled): helps protect our forms from spam.
Their use of your data is governed by their own privacy policies, which we encourage you to read.
5. How long we keep it
- Enquiries that do not lead to a stay: up to 2 years, then deleted.
- Guest register, ID records and billing records: for as long as the law requires us to keep them.
- Website accounts: until you ask us to delete your account.
- Server logs: for a limited period, normally no longer than 90 days, unless needed to investigate a security issue.
6. Cookies
Our website uses only the cookies it needs to work:
- a session cookie, which keeps the website working as you move between pages and keeps you signed in if you have an account; and
- a security token cookie, which protects our forms against misuse.
We do not use advertising or tracking cookies. The third-party services listed above may set their own cookies when their features load. You can block or delete cookies in your browser settings; parts of the website, such as the enquiry form, may then not work properly.
7. How we protect it
We use reasonable security measures to protect your data, including encrypted connections (HTTPS) where available, restricted access to our admin systems, hashed passwords and regular review of who can see guest information. No method of transmission or storage is completely secure, but we work to protect your data and will notify you and the authorities as required by law if a breach affects you.
8. Your rights
Under the Digital Personal Data Protection Act, 2023 you have the right to:
- ask for a summary of the personal data we hold about you and how we use it;
- ask us to correct, complete or update your data;
- ask us to delete your data, unless we must keep it by law;
- withdraw your consent at any time;
- have your complaints addressed by us; and
- nominate another person to exercise these rights on your behalf in case of death or incapacity.
To use any of these rights, contact us using the details below. We may need to confirm your identity before acting on your request. If you are not satisfied with our response, you may complain to the Data Protection Board of India.
9. Children
Our website is meant for adults planning a stay. We do not knowingly collect personal data from anyone under 18 without the consent of a parent or guardian. Children’s details for a stay should be provided by the adult making the enquiry.
10. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page with the date it was last updated. Significant changes will be highlighted on our website.
